1. Introduction
These Terms of Service (“Terms“) govern your use of the VaxiBook website (https://vaxibook.co.uk) and any related mobile or web applications (collectively, the “Platform“). The Platform is operated by VaxiBook (“VaxiBook“, “we“, “us“, “our“). By accessing or using the Platform you agree to be bound by these Terms and our Privacy Policy, which is incorporated by reference. If you do not agree, you must not use the Platform.
VaxiBook provides digital tools that allow patients to search for, book, manage and pay for healthcare services offered by independent pharmacies and vaccination clinics (each a “Provider“). VaxiBook is not a healthcare provider and does not give medical advice. All clinical care is provided solely by the Provider with whom you book.
2. Changes to Terms
We may update these Terms from time to time. When we do, we will post the revised Terms on this page with a new “Last updated” date and, where material, notify registered users by email. Continued use of the Platform after changes become effective constitutes acceptance of the revised Terms.
3. Eligibility & Account Registration
- You must be at least 16 years old (or the age of digital consent in your jurisdiction) to create an account. Bookings for children under 16 must be made by a parent or legal guardian.
- You agree to provide accurate, current and complete information during registration and keep it updated.
- You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately at support@vaxibook.co.uk of any unauthorised use.
4. Our Services
- Search for vaccination and related clinical services offered by Providers;
- Book or reschedule appointments;
- Receive confirmation, reminder and follow‑up messages by email (via Brevo) or SMS (via Twilio);
- Make payments for private services using Stripe;
- View past and upcoming appointments in your account dashboard.
We may add, modify or remove features at any time without liability.
5. Relationship with Providers
- Separate Contract. When you book an appointment, you enter into a direct contract with the Provider for the delivery of healthcare services. VaxiBook acts only as the Provider’s disclosed agent for arranging appointments and processing payments.
- Provider Policies. Each Provider sets its own clinical protocols, consultation fees, cancellation policy and refund rules. These will be displayed during the booking flow or communicated separately. It is your responsibility to review them before confirming a booking.
- Clinical Records. Providers may collect health information (e.g. consultation notes, medical history, prescriptions) which is governed by the Provider’s own privacy notices and professional obligations. VaxiBook stores such data on the Provider’s behalf in accordance with our Privacy Policy.
6. Fees, Payments & Refunds
- Prices displayed are shown in pounds sterling (£).
- Payments are processed securely by Stripe Payments Europe. VaxiBook does not store full card details.
- Your payment receipt will identify the Provider as merchant of record.
- Refund requests must be directed to the Provider. We will process authorised refunds through Stripe to your original payment method.
7. Cancellations & No‑Shows
- You may cancel or reschedule through the Platform subject to the Provider’s policy (for example, free cancellation up to 24 hours before the appointment).
- Providers reserve the right to charge a cancellation or no‑show fee.
8. Communications
By creating an account you consent to receive transactional emails and texts (appointment confirmations, reminders, safety recalls) from us on behalf of your Provider. You can manage communication preferences in your account settings. Marketing communications, where offered, require separate opt‑in consent and may be withdrawn at any time.
9. Acceptable Use
You agree not to:
- use the Platform for any unlawful, harmful, or deceptive purpose;
- upload or transmit viruses or malicious code;
- attempt to gain unauthorised access to our systems;
- interfere with the legitimate use of the Platform by others;
- scrape, harvest or reverse‑engineer the Platform except as allowed by law.
We may suspend or terminate your account for breach of these Terms.
10. Intellectual Property
All content, trademarks, logos and software on the Platform are owned by or licensed to VaxiBook and are protected by UK and international laws. Except for the limited licence to use the Platform in accordance with these Terms, no rights are transferred to you.
11. Third‑Party Services & Links
The Platform may contain links to third‑party websites or services (e.g. pharmacy websites, NHS resources). We do not endorse or control these sites and are not responsible for their content or practices.
12. Disclaimer
- The Platform is provided “as is” and “as available” without warranties of any kind, express or implied.
- VaxiBook does not provide medical advice. Information on the Platform is for informational purposes only and should not replace consultation with a qualified healthcare professional.
13. Limitation of Liability
To the fullest extent permitted by law:
- VaxiBook shall not be liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, data or goodwill.
- Our aggregate liability arising out of or relating to the Platform shall not exceed the greater of (a) £50 or (b) the total fees paid by you to the relevant Provider via the Platform in the 12 months preceding the event giving rise to the claim.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud or any matter for which liability cannot be excluded under applicable law.
14. Indemnity
You agree to indemnify and hold harmless VaxiBook, its officers, employees and agents from any claim, demand or damages arising out of your breach of these Terms, misuse of the Platform, or infringement of any third‑party rights.
15. Termination
We may suspend or terminate your access to the Platform at any time, with or without notice, if we reasonably believe you have breached these Terms or pose a security or legal risk. You may close your account at any time via the settings page or by emailing support@vaxibook.co.uk.
16. Governing Law & Jurisdiction
These Terms are governed by the laws of England and Wales. Any dispute arising out of or relating to these Terms or the Platform shall be subject to the exclusive jurisdiction of the courts of England and Wales.
